Privacy Policy
This Privacy Policy explains how Freeway Tech Solutions Ltd. (“freewaytek”, “we”, “us”) collects, uses, shares and protects personal information when you use the freewaytek dispatch platform (the web application at app.freewaytek.com) and the freewaytek-driver app for iOS and Android (together, the “Service”), or when you contact us or visit freewaytek.com.
1. Who we are and our role
Freeway Tech Solutions Ltd. is a federally incorporated Canadian company that provides dispatch software to trucking and freight companies (our “Customers”).
- Driver and shipment information: we process this on behalf of the trucking company that employs or contracts the driver. That company decides what information is entered into the Service and is responsible for its own collection of that information. We act as its service provider.
- Our own contacts: we are responsible for personal information about people who email us, request a demo, or visit our website.
2. Information we collect through the freewaytek-driver app
The Driver app is used only by drivers who have been invited by their trucking company. It collects or displays:
- Account and contact information: your name, email address and phone number. Your trucking company provides these when it invites you.
- Licence and travel document information: your driver’s licence number, class, issuing province or state and expiry date; your commercial licence (CDL) number, expiry and endorsements; and, for cross-border work, your passport number and expiry date, citizenship, and visa type and expiry date. Your trucking company enters these. The app only displays them.
- Load activity: when you mark a stop as arrived or departed, and when you update a shipment’s status (for example loaded or delivered), together with the time of each update.
- Photos and documents you upload: photos of load documents such as bills of lading, proofs of delivery, weight tickets, lumper receipts and fuel receipts. A photo is only uploaded when you choose to take it or pick it from your photo library. Photos may contain personal information that happens to be on the document.
- Camera and photo library: the app asks for access to your camera or photo library only when you tap to add a document, and uses that access only for that purpose.
- Crash and diagnostic data: if the app crashes or hits an error, it sends a report containing technical details such as device model, operating system version, app version and the error itself. These reports are configured not to include your name, email address or other personal details.
- Sign-in session: to keep you signed in, the app stores sign-in tokens in your phone’s secure storage (the iOS Keychain or Android Keystore).
The Driver app does not:
- track your location or collect GPS data from your phone;
- show advertising, include advertising SDKs, or track you across other companies’ apps or websites;
- access your contacts, microphone or health data;
- sell your personal information or share it with data brokers.
3. Information we collect through the web platform
Our Customers’ staff (dispatchers, administrators and accounting users) use the web platform. It holds:
- User accounts: name, email address and role.
- Business records entered by the Customer: shipments, customers and brokers, carriers, rates, invoices, settlements and driver pay.
- Driver records: licence and commercial licence details, passport and visa expiry dates (needed for cross-border loads), contact details and pay rate.
- Electronic logging device (ELD) data: if a Customer connects its ELD provider (currently Samsara), we receive vehicle location and hours-of-service status from that provider. This data comes from the Customer’s ELD provider, not from the Driver app.
- Business documents: files the Customer uploads, such as rate confirmations, invoices and customs documents. Some of these are read by automated document-processing services (see section 5) to help create shipments.
4. How we use information
- To provide the Service: showing drivers the loads assigned to them, recording stop and status updates, storing documents, and calculating settlements and invoices.
- To send operational notifications by email and text message, such as load assignments and updates (see section 7).
- To keep the Service secure and working, including preventing fraud and diagnosing crashes and errors.
- To respond to support requests and questions you send us.
- To meet our legal obligations.
We do not use driver information for marketing, and we do not use Customer or driver information to train artificial intelligence models.
5. Service providers we use
We use the following service providers to run the Service. They may only process personal information on our instructions and must protect it.

| Intuit QuickBooks | Accounting sync, only if a Customer connects it | United States / Canada |
| Google Fonts | Delivering the typefaces used on freewaytek.com (website only, see “Our website” below) | United States |
Photos and documents uploaded from the Driver app are stored in Canada and are not sent to the document-processing services listed above.
We may also disclose personal information if required by law, to protect the rights and safety of others, or as part of a sale or reorganization of our business, subject to equivalent protections.
Our website
freewaytek.com does not use cookies, analytics or advertising trackers. To display our typefaces, pages on freewaytek.com load fonts from Google Fonts, so your browser sends your IP address and browser details to Google when you visit. Google’s use of this information is described in the Google Privacy Policy. If you email us, we use your email address and message only to reply to you.
6. Where information is stored and processed
Our primary hosting, databases and file storage are located in Canada. Some of the service providers listed above are located in the United States, so some personal information may be processed in the United States and may be accessible to authorities there under United States law.
7. Text messages (SMS)
- Drivers may receive operational text messages, such as load assignments and updates, sent on behalf of their trucking company through the Service.
- Message frequency varies with load activity. Message and data rates may apply.
- Reply STOP to opt out of text messages. Reply HELP for help, or email admin@freewaytek.com.
- Mobile phone numbers and SMS opt-in consent are not shared with or sold to third parties or affiliates for marketing or promotional purposes.
8. How long we keep information
- We keep information for as long as the trucking company’s account is active.
- When a driver’s account is deleted, we remove their sign-in account and contact details. Shipment, stop and document records are kept for up to 7 years to meet legal, tax and transportation recordkeeping requirements, and are then deleted.
- Crash reports are kept for up to 90 days.
See how to request account deletion.
9. How we protect information
- Information is encrypted in transit (TLS) and at rest.
- Each trucking company’s data is kept separate from other companies’ data.
- Access is role-based. In the Driver app, drivers see only the loads assigned to them and the documents they uploaded.
- Sign-in tokens on your phone are kept in secure device storage.
10. Your rights and choices
Subject to applicable law, you can ask to:
- access the personal information we hold about you;
- correct information that is inaccurate;
- delete your account and personal information;
- withdraw your consent, for example to text messages.
To make a request, email admin@freewaytek.com. We will respond within 30 days. Because we hold driver and shipment information on behalf of trucking companies, we may refer your request to your trucking company or work with it to respond.
These rights apply under Canadian privacy law (the Personal Information Protection and Electronic Documents Act and applicable provincial laws, such as Quebec’s Law 25) and we honour similar requests from users in the United States. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner.
11. Age requirement
The Service is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18.
12. Changes to this policy
We may update this policy from time to time. We will change the “Last updated” date above and, for significant changes, notify Customers or users through the Service or by email.
